How to prepare a freight quotation
Check costs internally. Share selling prices with the customer.
1. Define the scope
Choose origin, destination, validity and currency. Confirm transport scope and additional charges in the actual contract. This tool does not look up live rates, book transport or arrange customs clearance.
2. Enter fees in one currency
Separate ocean freight, handling and documentation. Enter quantity, unit cost and selling price. All samples are fictional, not market rates. Tax, FX conversion and fractional quantities are not calculated automatically.
3. Check revenue and margin
The USD example has cost 490.00, revenue 650.00, gross profit 160.00 and margin 24.62%. Gross profit is not net profit: payroll, overhead and any other costs you have not entered are excluded.
4. Create the customer PDF
Select Japanese, Chinese or EN and use Print / save PDF. Use the dedicated customer print sheet, not a screenshot of the editor. The PDF excludes internal cost and gross profit.
5. Review before sending
Check customer, route, currency, validity, unit prices, quantities and totals. Check that no internal figures or clipped text appear. Explain included and excluded charges in your contract or accompanying message.
6. Save and give feedback
Entries are not saved automatically; save your PDF before closing. The CSV sample is for viewing or editing in spreadsheet software, not for importing into this tool. Never post real customer or quotation data in a public issue.
